ManoIQ Privacy Policy

ManoIQ ("ManoIQ", "we") provides business software for fire and life safety, security, access control, CCTV and structured cabling contractors. Who we are talking about

"Companies" are the contractors who use ManoIQ. "Their customers" are the people those companies work with. Each company's data is kept separate from every other company's.

Information we handle

• Account information: names, work email addresses and roles of company staff who sign in.
• Business records a company enters: customers, sites, leads, estimates, proposals, invoices, tasks, notes and uploaded files.
• Lead-form submissions: when someone fills in a company's web enquiry form, we store what they submit (such as name, email, phone, message) and their agreement to be contacted.
• Email connection (optional): if a company connects its Google or Microsoft mailbox so ManoIQ can send email on its behalf, we store the mailbox address and the access and refresh tokens the provider gives us. Tokens are encrypted before they are stored.

How we use it

To run the service for the company that owns the data; to send emails the company asks ManoIQ to send (for example a proposal, an invoice, or a follow-up to someone who asked to be contacted); to keep the service secure; and to support and improve it. We do not sell personal information, and we do not use it for advertising.

Google user data

If you connect a Google account, ManoIQ asks for permission to send email as you (the Gmail "send" permission) and to see your email address. ManoIQ does not read, search, list, store or delete the mail in your account. We use this permission only to send messages that you, or a person you authorize at your company, have set up or approved in ManoIQ. We do not use Google user data for advertising, we do not sell it, we do not allow people to read it except as needed to provide the feature, for security, or to follow the law, and we do not use it to develop, improve or train generalized artificial intelligence or machine learning models.

ManoIQ's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Automatic follow-up emails

If a company turns on follow-up emails, ManoIQ sends them only to people who submitted that company's web form and agreed to be contacted, only within the company's quiet hours and limits, never more than one such email to the same person in 24 hours, and every email includes a link to stop receiving them. Anyone who uses that link is added to the company's do-not-email list and is not emailed again by ManoIQ for that company.

Sharing

We share information only with service providers that host or run the service for us (for example our database and hosting providers, and the email and payment providers a company chooses to connect), under their own security and privacy terms; when a company directs us to (for example by sending an email to its customer); when the law requires it; or in a business transfer, with notice. We do not share one company's information with another company.

Security

Data is stored with a hosted database provider using access controls that separate each company's records. Mailbox tokens are encrypted at rest. No system is perfectly secure, and we cannot guarantee absolute security.

Retention and deletion

A company can disconnect its mailbox at any time in Settings. When it does, ManoIQ asks Google to revoke the token (where Google supports that) and deletes the stored connection. You can also remove ManoIQ's access from your Google Account's security settings at any time. Business records are kept while the company's account is active and for a reasonable period afterward, unless the company asks us to delete them. Children

ManoIQ is for businesses and is not directed to children under 13.
